XERA · AI for real estate agencies
The same buyer comes in through two portals and the web.
That is three records and one person.
It is for the agency whose same buyer comes in through two portals and the web: a single record and, every morning, the list of who to call, because XERA works on top of your CRM, and if it has an API it connects without you changing program.
Calls, demos and the free diagnostic are held in Spanish.
We first look at which CRM you use and whether its API is active. Today there are no connected agencies we can talk about.
It qualifies leads, books viewings and works on your current CRM: without changing anything of what you already have.

What holds back most real estate agencies
Unattended leads, late follow-up and agents overwhelmed by WhatsApp. The property market does not wait.
The same prospect, three times in your portfolio
They come in through one portal, through another and through the web form, and end up as three different records for the same person asking about the same flat. Two agents call them on the same day and neither knows the other already did.
Listings and sales compete for the same diary
An agency has two clients who have nothing in common: the owner who wants to sell and the buyer who wants to view. The afternoon you go to do a valuation is the afternoon you are not showing flats, and the other way round.
The exclusive listing is decided in the first week
The owner who asks for a valuation talks to several agencies. They do not sign with the one that values highest: they sign with the one that replies and keeps telling them how it is going. That silence in the first few days is almost the whole decision.
Viewings that fall through and you find out at the door
Confirming the time, telling the owner that people are coming into their home, reminding the buyer the day before. When one link fails, the agent finds out waiting at the entrance with the keys.
Paperwork stalls the deal when there is already a yes
Nota simple (land registry extract), habitability certificate, energy certificate, property tax (IBI) up to date, community fees. Asking the owner for them once the deposit contract is signed is how a closed deal turns into weeks of chasing documents.

The solution
What XERA automates in your agency
It is not a chatbot. It is an AI agent that qualifies, books and follows up, connected to your current tools.
The owner gets news every week
Whoever gives you a listing wants to know what is happening with their flat: how many viewings it has had, what they said and why there was no offer. XERA prepares that report from what is in your CRM and your diary, and leaves it written for you to send. The silence of the first few weeks is what loses the exclusive, and it is not lost for lack of work: it is lost for lack of time to tell it.
The prospect who comes in at eleven at night
It replies with what is already published about the property —square metres, floor, community fees, whether it has a lift— and asks about area, budget and timeframe. What is not published it does not invent: it flags it for the agent. The next morning the agent does not find an alert, they find a record with the answers inside.
A viewing that does not fall through at the door
It proposes a time to the buyer, confirms it against the diary of the agent who covers that area, tells the owner that people are coming into their home and reminds both of them the day before. If someone does not confirm, it says so before the agent leaves with the keys, not when they are already at the entrance.
The same person, a single record
The same prospect comes in through the web form and through the email the portal forwards to you. XERA cross-checks phone and email against the records you already have and merges instead of duplicating. When the match is doubtful it flags it instead of deciding: two clients merged by mistake are harder to fix than a flagged doubt.
Paperwork is requested before the deposit contract, not after
Nota simple, habitability certificate, energy certificate, latest property tax receipt and community fees up to date. XERA keeps track of which ones are missing in each deal and asks the owner for them from the moment there is a listing. Chasing documents with the deposit contract already signed is the most expensive way to delay a sale.

No need to migrate or change tools. If your system has an API, we connect it. Your portfolio stays where it is. We do not promise a closed list of integrations: we look at your case and tell you what is possible and what is not before starting.

All in one
XERA with our CRM included
If you do not have a CRM or you want a system designed from scratch for real estate agencies with AI, what it incorporates depends on your specific case: we look at it together and explain what is possible today, without promising features that are not built.
How it works
You delegate from the chat
Write the task the way you would give it to an agent. "Qualify the leads that have come in this week by email from the portals and book the interested ones." XERA understands and acts.
XERA executes or proposes
It acts directly or presents you with a summary to validate before proceeding. You control the level of autonomy.
Confirmation and traceability
You receive the status of each qualified lead, the viewings booked and a complete log of every interaction.
Connected to your tools
Email and calendar to start with. If your CRM has an API, we connect it. No migrations.

Before choosing a CRM
If you are comparing tools, these two articles save you half the work:
- Best real estate CRM: comparison of the main ones in Spain (article in Spanish) — prices checked on each vendor's website, what each one includes and who it suits.
- What changes when the CRM also replies (article in Spanish) — what changes when the CRM also replies.
One deal, from start to finish
Where XERA comes in at each stage, and where it does not. What the agent decides stays decided by the agent.
The owner arrives
They ask for a valuation through the web or by email. The address, square metres, floor and whether it is rented are taken, and the visit is booked with the agent for that area. They talk to several agencies at once: what decides the listing is who replies first and who keeps them informed, not who values highest.
Listing signed, paperwork under way
From day one, what will be needed starts to be requested: nota simple, habitability certificate, energy certificate, property tax (IBI) and community fees. XERA keeps the list of what is missing in each deal and reminds you. It is the boring stage and it is the one that later holds up the signing.
Prospects come in through three places at once
Web form and portal email. They are answered straight away with what is published, asked about area, budget and timeframe, and cross-checked against the records that already exist so as not to open a fourth one for the same person. What is not published is not improvised: it is flagged for the agent.
Viewings that confirm themselves
Time proposed to the buyer, confirmed against the agent's diary, communicated to the owner and reminded to both the day before. If someone does not confirm, it is known before picking up the keys. And what was said is written down after each viewing, which is the raw material of the weekly report to the owner.
There is an offer
Here XERA steps aside. Price, conditions, counter-offer and deposit contract are handled by the agent, always. What it keeps doing is what is around it: that the paperwork from step 02 is complete, that the dates fit and that nobody finds out late about anything.
On the way to the notary
Dates, pending documentation and who has to provide what. Follow-up does not end with the yes: a sale can fall through between the deposit contract and the signing, and almost always because of a document that nobody asked for in time.
What agencies ask us
Does it also reply to owners, or only to buyers?+
To both, and not in the same way. A buyer is asked about area, budget and timeframe. An owner who asks for a valuation is asked for the address, square metres, floor and whether it is rented, and the valuation visit is booked with the agent who covers that area. They are two different conversations because they are two different businesses, and mixing them is what makes an owner receive a message written for someone who is coming to buy.
Does it realise that two leads are the same person?+
It cross-checks phone and email against the records you already have in your CRM and, if they match, merges instead of opening another one. When the match is doubtful —the same mobile with a different name, or two different emails for the same person— it does not decide on its own: it flags it for someone to confirm. We would rather you were left with a flagged doubt than have it merge two clients who were not the same.
Do I have to change CRM?+
No. XERA works on the one you already use: it consults the records, writes what you let it write and keeps a log of every action. If your system has an API, we connect it. Your property portfolio stays where it is and the team keeps working the same way.
Is it going to talk to my client without me knowing?+
You decide in which tasks it acts on its own and in which it shows you the draft before sending anything. The usual way to start is to leave it free to answer questions about opening hours, availability and property details that are already published, and to have everything touching price, conditions, an offer or a signature go through the agent. And every message it sends is logged with its time.
What happens to the data of the owner and the buyers?+
Permissions are the minimum needed for each task and every action is logged and can be reviewed. Our server is in Finland (Hetzner). Providers and international transfers are detailed in our privacy policy (Spanish only).
How much does it cost?+
XERA Starter costs €208/month excl. VAT, with a setup fee of €1,200 excl. VAT (€1,000 excl. VAT if you pay the annual fee in advance), which includes the implementation. All prices on this page are excl. VAT. On top of that comes the Claude (Anthropic) subscription that you take out yourself, in your own name and with no margin on our side —we say it together because it is a third of the cost; it is Anthropic's price and it may change—. If you want the WhatsApp channel, it is added with Xera Chat. All the plans are on the pricing page. Initial commitment of three months, with no minimum term beyond that.
Can it publish or touch the portal listings?+
No, and it is worth saying before you try it: XERA does not publish, does not change prices and does not edit listings on any portal. It works with the emails and forms that COME IN from them —it reads them, qualifies them and puts them in your CRM without duplicating— but you keep doing the publishing wherever you do it today. Promising otherwise would be selling you an integration that is not built anywhere.
The flat is already sold and the ad is still live. What does it reply?+
What you tell it to reply. If the record in your CRM is marked as reserved or sold, it says so and offers alternatives in the same area and range; if the record is not up to date, XERA does not guess and replies with what is published. It is the case where it shows most that this works on your data: the quality of the reply is the quality of your record, which is why we are not going to tell you that it solves an expired ad.
I have agents by area. Does it distribute well?+
Yes, if the distribution is somewhere that can be consulted: the property's area on the record, or a list of which agent covers which. XERA books against that agent's diary and not a shared one. What it does not do is invent the criterion: if two agents share an area and you settle the tie from memory, it has to be written down once so that it can follow it.
Does it work the same for rentals as for sales?+
Both, with different conversations. In rentals what decides is solvency and availability: payslip, contract, guarantees, move-in date. In sales it is budget, financing and timeframe. A rental closes in days and a sale in months, so the follow-up cannot be the same — and an agency that does both needs them not to get mixed up.
And with the flats I hold on a shared exclusive or on an MLS?+
XERA does not decide who you share with and does not change your agreements. What it does is make the prospect arrive with their details taken and the viewing booked, which is what any shared pool asks of you. If your MLS has rules about what can be said about someone else's property, they are configured like any other limit: it is told what it can answer and what has to go to the agent.
What happens when someone asks about the mortgage or taxes?+
That is where it stops. Financing, ITP (property transfer tax), municipal capital gains tax (plusvalía) or notary fees depend on the specific case and on each region, and an approximate answer in a sale is not a detail. XERA collects the question, says that an agent will see it and sends an alert. We would rather a question was left unanswered than answered too much.
How long does it take to be up and running?+
The setup fee includes the implementation and the work is done on what you already have, so there is no portfolio migration or change of tool. The real timeframe depends on two concrete things, and they are checked before signing: whether your CRM has an API, and how many of your records are up to date. We do not give a number of weeks without having seen that, because it would be making it up.
