How a real estate agency stops losing leads with an assistant that never sleeps

A prospect finds your flat on a portal at 22:30. They write to you. They love the photo of the kitchen and want to know whether it is still available and when they can see it. But your office closed at 19:00, and until 9:00 tomorrow nobody replies.
By the time you open and answer, that same prospect has already written to three other agencies. And the first one to reply has already booked them a viewing.
You have not lost the lead through poor service. You have lost it through eleven hours of silence.
The problem is not the number of leads, it is the speed of response
In real estate, a prospect who writes to several agencies at once is likely to stay with the one that answers first. When the lead arrives outside office hours —at night, at the weekend, on a public holiday— and nobody replies until the next day, that contact cools off or leaves.
And leads do not only arrive during office hours. Many people look for a flat precisely when they finish work, at night or on a Sunday morning. Those are, precisely, the hours when your team is not there.
→ Before getting into the assistant, check which CRM or management software you have underneath: the assistant improves response time, but it needs a system in which to leave the contact.
It is worth saying early: changing CRM does not fix this. A CRM stores the conversation; it does not answer it at 22:30.
What an AI assistant does on your website
An AI assistant is a chatbot that lives on your website and answers whoever comes in, at any hour. It does not replace your sales team: it takes care of the first contact, which is precisely the one you cannot cover around the clock.
Specifically, an assistant well configured for a real estate agency can:
- Reply instantly, at 23:00 or on a Sunday, to whoever asks about a property or your services.
- Resolve the repetitive questions your team answers over and over: areas you work in, how a sale works, what documentation is needed, opening hours.
- Collect the prospect's contact details (name, phone, email) before they leave, so your team can continue the conversation the next day with a lead already identified.
- Arrange a viewing or a call if you connect the assistant to your calendar.
The prospect at 22:30 no longer finds silence. They find a reply, they leave their details, and in the morning your team picks up a warm lead instead of discovering a lost opportunity.
Where the assistant lives
The assistant is installed on your website. Its link can also be shared wherever you like: in your Instagram bio, in your stories, or as an automatic reply on your WhatsApp, so that whoever writes to you can go straight in to talk to it.
If you also want the assistant to integrate with your CRM —so that leads enter your system by themselves— or with your calendar to book viewings in real time, that is possible too, if they have an API.
Start without complicating things
The idea is not to set up a huge project, but to solve a concrete problem: that no prospect is left without a reply because of the time of day. You can start with the basics —the assistant on your website— and expand later if it makes sense.
