WhatsApp chatbots for real estate agencies: lead capture, qualification and automatic follow-up

The real problem of a real estate agency is not capturing leads: it is handling them in time
An active real estate agency receives enquiries from many places at once: the website form, the portals (Idealista, Fotocasa), a phone call, and more and more through WhatsApp. The problem is not usually a lack of interested people, but that many arrive when the team cannot reply: at 22:00, at the weekend, or while the agent is showing a flat.
This is where an AI chatbot on WhatsApp changes things: not to replace the agent, but so that no enquiry is left without a reply while the team is busy or outside office hours.
Important from the outset: we are talking about handling those who contact the agency (incoming enquiries), not about sending cold messages. Writing on WhatsApp to people who have not given their consent is not only annoying: it goes against WhatsApp's rules, which require permission to message people. The value of the chatbot lies in replying well and quickly to whoever is already writing to you.
The chatbot handles; the conversation has to end up somewhere. That place is your real estate management CRM, and they are not all good for the same thing: those built around the property and those built around the contact solve different problems.
What a WhatsApp chatbot can automate in a real estate agency
A well-designed chatbot does not try to close the sale on its own. Its job is to organise the intake of enquiries, give an instant reply, collect the key information and leave the contact ready for the agent to step in when they add real value. Specifically:
- instantly answering frequent questions (availability, area, indicative price, features)
- collecting contact details with consent
- asking the first qualification questions
- scheduling or proposing viewings according to the team's availability
- alerting the agent and passing on the conversation with context
- following up contacts who have already interacted
Flow 1: capturing and handling prospects
A prospect sees a flat on a portal or on your website and asks on WhatsApp: is it still available? how many square metres is it? can it be viewed on Saturday? Instead of that enquiry waiting for someone to see it, the chatbot replies at once: it confirms whether the property is still available, gives the basic information and, if the prospect wants, collects their details and proposes a viewing. The agent receives the contact already with the context.
Illustrative example: someone writes on a Sunday afternoon interested in a flat. The chatbot replies, confirms availability and schedules a call for Monday. On Monday, the agent does not start from scratch: they have the property, the details and the prospect's intention.
Flow 2: qualifying buyers and tenants
Not all prospects are at the same point. The chatbot can ask the first questions that normally consume the agent's time: what type of property they are looking for, in which area, with what budget, whether they need financing, in what timeframe. With that, when the contact reaches the team, it is already classified. This does not replace the agent's judgement: it makes them spend their time on the contacts that really move forward, instead of using the first calls on basic questions.
Flow 3: follow-up after the viewing and of contacts who already wrote
One of the biggest leaks in real estate is follow-up. After a viewing, the agent wants to do ten other things, and the contact goes cold. The chatbot can help with the follow-up of people who have already interacted with the agency and have given their consent: asking what they thought of the viewing, offering alternatives from the portfolio, reminding them of pending documentation. Always with the option of being put through to an agent and of opting out.
Important legal nuance: this follow-up is for contacts who started the relationship with you and gave their details, not for cold lists. The difference between legitimate follow-up and spam is exactly that.
WhatsApp Business or WhatsApp Business API: which one you need
In short: WhatsApp Business (the free app) is fine to start with and for small volumes. Connecting an AI chatbot, handling conversations as a team, integrating with your CRM and scaling goes through the WhatsApp Business API. The good news: with the coexistence feature you can use your current number, without asking your clients to write somewhere else. You do not change number; you add capacity.
Common mistakes when using WhatsApp chatbots in real estate
- Using it to send cold messages (the most serious: besides being annoying, it goes against WhatsApp's rules; the chatbot is for handling whoever contacts you)
- Making it seem that the bot "is" the agent (better to be transparent)
- Not having a clear point of handover to a human
- Over-qualifying (15 questions before giving information scares people off: first you help, then you qualify)
- Not connecting to the CRM (if the data does not reach your system, the follow-up is lost again)
Where Xera Chat fits and how to start
Xera Chat is an AI assistant that handles the agency's channels, including WhatsApp, on the number you already use. It replies instantly, qualifies, collects data with consent and passes to the agent when they add value. And it can be connected to your CRM, if it has an API.
A sensible way to start: first web and WhatsApp for incoming enquiries; then qualification; and lastly integration with the CRM. That whole path, with what is connected at each step, is what we set up with Xera Chat; for the operational side, see XERA for real estate agencies. If you want to see how it would fit yours, we show you on your real case, without empty promises. Demos are held in Spanish.
If you are still choosing a CRM, you have a comparison of seven CRMs with dated prices: real estate CRMs in Spain.
